Hi! Is the 3-bedroom villa free Aug 14–19 for 5 people? What's the rate with airport pickup?Guest · 11:42 pm
Hello! Yes — those dates are open for Villa Demo A (sleeps 6). The nightly rate for August is in the approved range I can quote, and airport pickup is included for 5+ night stays. May I ask what brings you to Bali — holiday or a longer stay? I'll match the right villa and hold the details for the team.System · 11:43 pm · first response in 1m 12s
Can you do 40% off if we stay a month?Guest · 11:47 pm
That's a decision for our reservations team — I've flagged your request with full context and someone will confirm options in the morning. Meanwhile, I can share monthly-stay information that's already approved.System · 11:47 pm · escalated to human

The problem

Where bookings quietly leak

An inquiry arrives at 11pm. The guest is comparing several villas at once. If the answer waits until morning, the guest may already be gone. In a market where occupancy is under pressure and rates are discounted, the inquiry you already earned matters more than ever.

Today: five inboxes, one hope

WhatsApp · 11:42 pm · unread Instagram DM · 2 days Website form → inbox? Email · flagged, forgotten OTA inbox · separate app “I thought you replied?”

Answers depend on who is awake, who is on shift, and whose personal phone the conversation lives on. Follow-up is manual — or absent. Slow responses can also hurt OTA ranking, which is partly based on response rate.

With the system: one flow, owned

1Every covered inquiry answered from your approved information — within two minutes, day or night
2Serious guests qualified: dates, party size, budget, purpose, property fit, urgency
3Quiet conversations followed up on day 1, 3, and 7 — with your approved wording
4Complaints, emergencies, refunds and sensitive topics routed straight to your team
5One pipeline with status and ownership — nothing lives on a personal phone

The core mechanism

A response system, not a chatbot

An AI layer installed over the channels you already use. It answers from your approved knowledge base only — and when it isn't sure, it hands off to a human instead of improvising.

01 · Inquiry

A guest writes at 11pm

WhatsApp, website chat — whichever channels are in your signed scope. Time zone doesn't matter anymore; AU and EU guests inquire while Bali sleeps.

02 · Response

Answered within two minutes

Accurate, in the guest's language, from information you approved: properties, ranges it may quote, house rules, logistics. Never an invented rate — that guardrail is contractual.

03 · Qualification

Serious inquiries get shaped

Dates, guests, budget, purpose, property fit, urgency — collected conversationally, so your team wakes up to a qualified lead instead of a cold "hi, price?"

04 · Follow-up

Silence gets a second chance

Conversations that go quiet are followed up on day 1, 3, and 7 with messaging you approved. The inquiries you already earned stop evaporating.

05 · Handoff

Humans take what humans should

Complaints, emergencies, refund requests, sensitive personal information, unusual requests, and anything you mark as mandatory human review — escalated instantly with full context. And there's always a pause-AI procedure.

Demo scenario
Hi! Do you have a villa near Canggu for 4 adults, Sep 2–8? Quiet area if possible 🙏Guest · 11:03 pm

The inquiry lands in the system the moment it arrives — no one has to be awake.

Demo scenario
Hello! Yes — two of our villas near Canggu are open Sep 2–8 and both sit in quiet lanes. Villa Demo A sleeps 4 with a private pool; Villa Demo B adds a garden studio. I can share approved rates for both.System · 11:04 pm · 58 seconds

Answers come only from the approved knowledge base.

Complaints and emergencies never get "handled" by AI — they get humans, fast.

How it works

Installed in a 14-day sprint

One scoped implementation. Built around WhatsApp and website chat — Instagram or email only if included in scope. You own the accounts, the documentation, and the handover.

Days 1–2

Map & lock scope

Kickoff, access collected, scope frozen. No new channels after day 2 without a change request.

Days 3–7

Knowledge base & agent

Your docs become the approved knowledge base; the response agent and qualification + escalation routes are built.

Days 8–10

Follow-up & dashboard

Day 1/3/7 sequences, unified pipeline with ownership, response-time dashboard live.

Days 11–12

Acceptance tests

The formal 40-scenario suite: 20 historical inquiries, 10 adversarial, 10 operational/failure-mode. Required tests — run together, before go-live.

Days 13–14

Training & shadow go-live

60-minute team training, pause-AI procedure, joint acceptance, handover — then 14 days of post-launch tuning.

The honest fine print:

the 14-day promise applies when scope is locked by day 2, WhatsApp/API access is available or not on the critical path, a maximum of two initial channels are included, one availability source is used, no custom PMS integration is required, the knowledge base is approved on time, and rollout starts in shadow mode. Larger portfolios or custom integrations get a longer, honest quote.

Who it's for

Built for operators with real inquiry flow

  • Bali villa management company or multi-property rental operator
  • Ideally 20–60 managed villas — minimum 15 premium villas or ~30 standard villas
  • At least 2 people handling reservations or guest inquiries
  • Preferably 150–300+ direct inquiry conversations per month
  • Meaningful direct flow via WhatsApp, website, Instagram, email, or direct booking
  • Internationally oriented or premium segment
  • Owner, GM, operations director, or head of reservations accessible

Smaller operator?

Below the threshold, the full build usually isn't worth your money — and we'll say so. Operators under the line may qualify for a reduced-scope Pilot ($1,500–2,500): one channel, limited properties, a narrow acceptance test.

When we'll tell you no

No meaningful direct inquiry flow; a mature AI response system already in place; custom PMS integration required inside the first 14 days; or a request for revenue, occupancy, or guaranteed-booking claims — we don't make those.

The commercial promise

95% / 2 min

of eligible new inquiries on covered channels receive a first automated response within two minutes.

"Eligible" means new, non-spam guest and reservation inquiries on the channels explicitly covered in your signed scope. This is an acceptance criterion in the contract — measured on the dashboard you keep.

What the promise doesn't cover

  • Meta, BSP, PMS, hosting, internet, or other third-party outages
  • Spam and duplicate messages
  • Channels not included in the signed scope
  • Messages outside the agreed automation scope
  • Messages requiring mandatory human review
  • Client-side access or configuration failures

We'd rather you read this list now than discover it later. Failure modes — outages, stale data, human takeover, pause-AI — are part of the 40-scenario acceptance suite.

Proof & trust

Judge the work, not the promises

Selena Systems is a new practice. You should ask about proof — here's the honest answer.

01

The audit is the portfolio

Before you pay anything: a 3-minute video reviewing one real, dated, properly-labeled inquiry scenario — and what we'd automate first.

02

A demo you can message

A live demo agent on the fictional "Villa Demo Selena" — test it yourself with your hardest questions before signing anything.

03

40 acceptance scenarios

Go-live requires passing a formal test suite together: 20 of your historical inquiries, 10 adversarial cases, 10 failure modes.

04

Your dashboard is the proof

After launch, your own response-time dashboard shows the before and after. That becomes the case study — with your permission, or not at all.

We do not invent case studies, testimonials, or numbers. A single mystery-shop test is a signal worth reviewing — never presented as proof of systemic failure. The first three founding clients receive Pilot/Core pricing in exchange for a written, client-approved case study. Local delivery in Bali is supported by an established local partner company; the exact contracting structure is confirmed with you before signing.

Message the demo on WhatsApp

The demo should use a safe demo number or sandbox, not a production client number. When configured, this button opens WhatsApp with a prefilled guest question.

Try: "Do you have a 3-bedroom villa in Canggu for July 12–15?" · "Is airport pickup included?" · "Can I check in late at night?"

FAQ

Fair questions, straight answers

Will it say something wrong to a guest?

It answers only from the knowledge base you approve. Unknown pricing, unavailable dates, discount requests beyond your approved range — those are among the adversarial scenarios in the acceptance suite, and the correct behavior is to route to your team, not to improvise. There is also a documented pause-AI procedure your staff controls.

We already have auto-replies.

Auto-replies acknowledge. This system answers, qualifies, follows up on day 1/3/7, and hands off with context. The difference shows up in your pipeline, not your greeting message.

What if we use a PMS or channel manager?

We can read from simple availability sources where available. Custom PMS integration is explicitly not part of the 14-day scope — if you need it, we'll say so and quote it separately rather than pretending it fits.

Who owns the system afterwards?

You do, subject to final contracting and account setup: accounts are created in your name wherever possible, documentation and credentials are handed over, and the included training covers editing the knowledge base yourself.

What does ROI actually mean here?

For management companies, ROI is estimated from retained management revenue — recovered bookings × average booking value × your management commission — plus staff hours saved. Not total guest booking value, unless you own the property and keep that revenue. All ROI figures are estimates built from your own inputs, never guarantees.

What happens during an outage — Meta, hosting, internet?

Third-party outages are excluded from the SLA — we can't promise Meta's uptime — but they're not ignored: outage behavior, escalation failure, and human takeover are tested scenarios in the acceptance suite, and the documented failure mode routes inquiries to your team rather than silence.

Do you have case studies?

Not yet — and we won't invent any. That's why the readiness assessment is free, the demo agent is public, prices are published, acceptance is a formal 40-scenario test you witness, and founding clients get Pilot/Core pricing in exchange for a written case study they approve.

Is my guests' data safe?

Guest data is processed only to operate the system, in accounts you own. Sensitive personal information is a mandatory human-review category by default. Data-processing responsibility is confirmed in the contracting checklist before signing.

The next step

Find out how ready your villa business is.

Complete a 90-second assessment and get your Villa Response Readiness Score, plus your three highest-risk areas. Then, if it makes sense for your operation, approve a Live Guest Inquiry Audit that tests your real response flow on one channel you choose.

90-second assessment Based only on your answers No website or inbox access

A live inquiry test is run only after an authorised representative approves the channel, scenario and test window — nothing is sent before that.
